Privacy notice
What Groundcare Machinery For Sale does with personal data, written to describe what the site actually does, rather than everything it might one day do.

Who is responsible
Groundcare Machinery For Sale is operated by Welto Limited, registered in England and Wales, company number 14630258, registered office 167-169 Great Portland Street, London, England, W1W 5PF. We are the data controller for the processing described here, registered with the Information Commissioner's Office.
Data protection questions and requests: info@groundcaremachineryforsale.com.
What is collected, and why
When you send an enquiry about a listing
We collect your name, email address, your message, and your phone number if you give one. We also record the IP address and browser user-agent the enquiry arrived from.
The name, email, phone number and message, and details of any machine you offer in part exchange, are passed to the dealer selling it, by email, so they can reply to you. That is the entire point of the form, and it is the processing you are asking for when you press send. Our lawful basis is performance of a contract with you, or steps taken at your request before entering one.
The IP address and user-agent are not sent to the dealer. They exist so that we can recognise abusive or automated submissions, which are a real problem on any marketplace with a contact form. Our lawful basis is legitimate interests: keeping the site usable for dealers and buyers, weighed against the fact that these two pieces of data reveal very little on their own and are not used to build any profile of you. Both are erased automatically after 90 days by a scheduled job. Your enquiry itself is not touched by that job, because it is the dealer's record of a customer who contacted them.
When you create an account
We collect your email address, which is how you sign in. If you save searches or save favourites, we store those too.
Our lawful basis is performance of a contract: these are the features you created the account to use.
When you use the contact form
We collect your name, email address, what your message is about and the message itself, and record the IP address and browser user-agent it came from. We use them to read and answer your message, and the IP address and user-agent to stop the form being abused. Our lawful basis is legitimate interests: replying to people who contact us, and keeping the form usable. The IP address and user-agent are erased after 90 days, and the message itself after twelve months, both automatically. We do not send an automatic reply.
When you report a listing
We collect your email address, the reason you chose and anything you write. We use them to look into the report and, if we need to, to ask you about it. We don't pass your details to the dealer. Our lawful basis is legitimate interests: keeping fraudulent and unlawful listings off the site. We keep reports, and what we decided, as a record of how we deal with them; ask us and we'll delete your details once a report is closed.
Saved-search alerts
If you ask for alerts on a saved search, we email you when new listings match it, at the frequency you chose. Every alert carries an unsubscribe link that works without signing in, and email apps that support it show their own one-click Unsubscribe button. Turning alerts off stops them immediately. Our lawful basis is consent, which you can withdraw at any time without affecting anything else about your account.
Price-drop emails
When you save a listing you can tick “Email me if the price drops”. If you do, and the dealer later reduces its price, we email you to say so, at most once a week for any one listing. The box is never ticked for you. Every email has a link that stops them without signing in, and email apps that support it show a one-click Unsubscribe button; you can also untick the box on your saved listings. Our lawful basis is consent, which you can withdraw at any time. If you opt out we keep a record of that, so we don't email you again unless you tick the box again.
Staff logins
If a dealer invites you to their team, we store your email address against their dealership so you can sign in to it. The dealer can remove you at any time.
When you apply to sell
We collect your business name, company number, contact name, email address, phone number and address, and we review them before approving you to sell. Private sellers cannot list here, so this review is the product rather than an extra.
Once you are approved, your business name, email address, phone number, website, town, region and description are shown publicly on your dealer page and alongside your listings, because that is how buyers reach you. Your company number, street address and postcode are not published.
Our lawful basis is performance of a contract, and legitimate interests in making sure sellers on the marketplace are genuine businesses, which is the protection buyers come here for.
Children
The site is for people aged 18 and over. We do not knowingly collect personal data from anyone younger; if you think we have, tell us and we will delete it.
What we deliberately do not do
There is no analytics on this site. No Google Analytics, no advertising pixels, no third-party tracking of any kind. We do not build profiles, we do not make automated decisions that produce legal effects, and we do not sell or rent data to anybody.
Listing pages count how many times they have been read, and how many times the dealer's phone number, email address or website was tapped from them, so a dealer can see that twelve people looked at their mower this week and three rang. Those counts are daily totals on the listing. No record is kept of who did the reading or tapping.
Cookies
Groundcare Machinery For Sale sets cookies only to keep you signed in. They are strictly necessary for a service you have requested, which is why there is no cookie banner: there is nothing here to consent to. We set no analytics, advertising or preference cookies.
Your browser also keeps a few things for the site in its own storage, not in cookies: whether you prefer search results as a list or a grid, which listings you have viewed this session (so a page you reload is only counted once), and, for dealers, a draft of a listing you haven't saved yet. They stay on your device, are never sent to anyone else, and clearing your browser's site data removes them.
Who else sees the data
Dealers you contact receive your enquiry and act as independent controllers of it from that point. They decide how they keep and use their own customer records, and you would need to contact them directly about data they hold. We tell you which dealer you are contacting before you send anything.
We use these processors to run the service:
| Processor | What for |
|---|---|
| Supabase | Sign-in, the database, and photo storage |
| Resend | Sending enquiry notifications, saved-search alerts and price-drop emails |
| Vercel | Hosting the site |
| Stripe | Dealer subscription and listing fee payments (buyers never reach it) |
Some of these process data outside the UK. Where they do, transfers are covered by the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. We will also disclose data where the law requires it.
How long it is kept
| Data | Kept for |
|---|---|
| Enquiry IP address and user-agent | 90 days, then erased automatically |
| Contact form messages | Twelve months, then deleted automatically (IP address and user-agent after 90 days) |
| Enquiries | Until you ask us to delete them. Deleting your account removes their link to it but keeps the enquiry, as the dealer's record |
| Account, saved searches, favourites | Until you delete your account |
| Dealer and verification records | For the life of the account, then as long as tax and company law requires |
You can delete your account yourself, from Your data in your account, or ask us to do it. Either way we delete your saved searches, favourites and email preferences with it, and remove you from any dealership team. Enquiries you have sent are kept, because each is the dealer's record of a customer who contacted them, but their link to your account is removed. We can also remove those enquiries from our records; just say so. A dealer who received an enquiry by email holds their own copy, which is theirs to manage, so ask them directly about that. If you own a dealership, ask us to close the account, so we can deal with its listings and billing properly.
Your rights
Under UK GDPR you can ask us to:
- give you a copy of the personal data we hold about you, and tell you what we do with it
- correct anything that is wrong
- delete it
- restrict what we do with it, or object to processing based on legitimate interests
- send it to you, or to somebody else, in a portable format
- stop sending you alerts or price-drop emails, which you can also do yourself from any of those emails
If you have an account, you can download a copy of your data and delete your account yourself, from Your data once you are signed in. For anything else, or if you would rather we did it, email info@groundcaremachineryforsale.com from the address we hold for you. We respond within one month, and there is no charge. If we cannot tell that a request comes from you, we may ask you to confirm who you are before acting on it.
If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes
When this notice changes materially we update the date at the top and, if the change affects how we use data you have already given us, we tell account holders by email rather than relying on you to re-read the page.
Questions about any of this go to info@groundcaremachineryforsale.com, or see the contact page.
